What charges are reasonable when running a Workshop independently?
This will vary because each tutor’s costs and expenses will be
different, but there are a number of issues you need to consider.
- What is it going to cost you to run the Workshop?
- Participants’ Manuals (plus p&p) and Pocket books (if needed)
- Travel
- Refreshments (if you are providing these)
- Venue hire
- Equipment hire (may include TV, DVD/Video Player, Projector, Flip-Chart etc)
- Admin (e.g photocopying, postage, phone calls etc; Tutors may charge a token fee of £10-£20 per Workshop)
- Tutor’s fee – you will need to charge a fee. If you charge per
hour you will need to consider any preparation time. We do not recommend
a set fee, this is at your discretion, but we pay up to £25 - £35 per
hour depending on the Workshop being run and whether you are working
alone or with another tutor.
Note: If you are running workshops on a regular basis you may also
need to consider covering recurring costs such as your licence fee,
Study Days, insurance, CRB check, resources etc.
- Add the above costs together and divide by the minimum number of
participants you are expecting. You then need to use your judgement as
to whether you feel this is a reasonable charge. It can vary from £50
to as much as £150 per person per day.
- When deciding whether a charge is reasonable, you must consider
that as a licensed Tutor working for a charity it is your
responsibility, as much as the Charity’s, to ensure that no-one is
excluded from accessing Makaton on the grounds of cost; in other words,
“Are you providing for the Public Benefit”.
Therefore:
- Are your charges reasonable?
- Can you offer a sliding scale of charges, or subsidise some places on the Workshop?
- Are there any other options (eg funding support from other bodies)?
- Remember, when organising a Workshop you must state, in writing, any terms and conditions in the event of a cancellation.
- Do you have a closing date for applications?
- When is your cut-off date for confirming your room hire?
- Is there a minimum number of delegates you must have in order to go ahead?
- Will you refund or exchange if an applicant is unable to go ahead?
- Will you reschedule if you have to cancel?
- If you are running a Workshop and looking for delegates to fill the
places, do let us know so we can respond to enquiries received at Head
Office.
Hopefully this helps to set things out more clearly for those of you
who need this information. Please contact the Training Office if you
need further advice or clarification.
